How to Register a New Student Organization
Registering a student organization is a simple and easy process. There are no fees for registering, however keep in mind that all student groups must re-register each and every year. Here are the steps that you need to take to become a registered Student Organization at UCR.
Step 1: Login into the SOLAR System online powered by Symplicity (Student User link appears at http://studentlife.ucr.edu/Student+Organizations/SOLAR+Online.htm)
Click on “student groups” tab
Click on new group profile
Step 2: Fill in all the required data fields for the student organization profile. Attach the organizations constitution (use the Constitution Template “Constitution Template" Word Document to develop your organization’s constitution).
All student organizations must have a minimum of ten currently enrolled students to register (includes undergraduate and graduate students, excludes UCR Extension students). To add members click on the Add Item button under Members.
Continue to fill in all required data fields and review. Once complete, click submit.
Please contact Student Life or stop by the Consultation Desk in Student Life if you have questions or need assistance in completing this form.
Student Life will review the profile contents and will follow-up with the organization.
Step 3: Go to http://studentlife.ucr.edu/Student+Organizations/Resources.htm and select “Forms.” Locate the Policy Compliance form and print it. Review the contents of the form and take it with you to the organization orientation session.
Step 4: Come to the office of Student Life to sign up for the mandatory Student Life Organization Orientation and to schedule a " pre-flight" meeting. The primary officer (president in most organizations) should attend the pre-flight and orientation. This person must also have “owner” status in SOLAR. If the primary officer cannot attend, another high ranking officer should attend (this person must have "owner" status in the SOLAR sytem). The pre-flight meeting is an individualized meeting with the student organization and a Student Life staff member or a Student Organization Advising Peer (SOAP), where the new group profile will be reviewed and to address questions. The pre-flight meeting must occur prior to the Orientation workshop.
Step 5: Attend a pre-flight meeting and a mandatory Student Life Organization Orientation. Information provided at the orientation must be shared with the members of the organization, the organization becomes responsible for being aware of and in compliance with information provided and the individual who signs the Policy Compliance form at the orientation and submits it must do so on behalf of the organization.
Please note that the days and times of the Organization Orientation workshops vary each quarter. Only one authorized representative (president or other officer) from an organization is required to attend the orientation on behalf of the organization. This representative is expected to share information from the orientation session with the membership.
Step 6: After your organization has completed all the steps above, staff members in Student Life will process the organization’s registration. If there are incomplete items, the constitution lacks key information or needs revision or other difficulties, the organization will be contacted. If everything is in order the organization’s registration is approved and the organization will appear in the SOLAR System online.
If you desire assistance with the creation of your student organization’s Constitution and/or By-laws, use the downloadable Microsoft Word template or please contact Student Life.
